Make some changes to my bookings website.

My Concrete5 website [login to view URL] is a totally unique sport booking site that, once employed by a polo club, allows playing members to book their required practice chukkas for each regular club practise/training session and, after a set cut off time, an algorithm (COBOL) within the website assists the polo club manager to quickly organise a fixture which respects all the unique criteria for this sport. We have also created an editing screen for the manager to use to finesse the plan for the event before publishing the final schedule (the Chukka list) back to club members. Each playing member has a handicap, and will request an amount of chukkas (maybe from 1 to 6 short practice games), stating how many ponies they are using, whether they require any gaps between chukkas and whether they wish to play with a specified other or kept apart. There could easily be 20-30 members wishing to practice on one field and if the average request is for 4 chukkas each, that could mean 10 or 15 four a side 7 minute chukkas to run consecutively with barely a couple of minutes between. If there are many more requests, the manger might instruct the algorithm to create two Chukka lists to be played on two separate fields (pitches). The site has been successfully in Beta phase with a top flight UK club (Ham Polo Club of London) for the last five years but the web development company (primarily a design company who sought to offer a more complete service) who built it for me fell apart during COVID. Currently the site operates as and offers only one comprehensive service. I wish to split the service into two options, one free cut-down version and one complete but paid for version. The job I want doing is to restructure the site so as to offer a simple but useful free bookings service for members to convey their requests to the manager (as they currently do, shown in the YouTube video below) and for the manager to be able to, at the click of a button, create on his PoloPlay screen from those received bookings a CSV or Excel file with them in alphabetic order which they can them manually work up (within the limits of Excel) by them into an acceptable schedule (Chukka list) which can be saved and published back to members, as a spread sheet, via the site. This would be the free version. They should be able to export the bookings file to any pre formatted spread sheet they have previously developed themselves before re uploading to our site so that they can publish the finished schedule back to the members. In addition to this I then want the option to be made constantly available for them to upgrade (for a fixed monthly fee) to the full bells and buttons version which employs our algorithm to create a good draft schedule and also allow the use of all the editing functions shown in the video before publishing both a spread sheet to all members plus each member’s individual schedule directly to them. Please understand that the following video was prepared in anticipation of these changes being carried out by the previous developers. ie The video gives the impression that the job described above is already done. It isn’t. Currently we are unable to offer the two choices above, despite what the video says. We have recently been approached by a company launching a global app and website for polo clubs and they would like to host and link our free version as an introductory offer. What I would also like is for club sign up and use to be far more easily carried out by clubs by themselves rather than the current system which requires me to be actively involved in creating and sending out passwords.
