android e-mail app development

1) We are a hypnosis center with many hypnotherapists working for us. Interested people (clients) find our website, choose the nearest hypnotherapist and book their appointments through our automated online booking system. Our websites are [login to view URL] – [login to view URL] The problem starts if people have questions first before booking an appointment. They then contact us through e-mail and ask their questio. Some of our hypnotherapists don’t answer the e-mails in time and let the client waiting for several days. Some e-mails never get answered. This means we are losing some percentage of our clients. We want to avoid this by creating a system which will alert the administrator and the hypnotherapist (by e-mail AND by automated whatsapp message) that there are unanswered e-mails. The administrator must be able to see how fast therapist X answers the e-mails and how many e-mails he delayed (i.e didn’t answer within a defined timeframe) This is the first reason why we want this application. So we don’t lose income due to unanswered or delayed e-mails. Delaying an e-mail means the client will go to our competitors. 2) The second reason is as follows : Most of the clients ask us the same questions. So we have to type the same answers again and again.. There are 3 to 5 emails we have prewritten, which we simply cut and paste to gmail from Microsoft word so we don’t have to type it all over. We want this done with the click of a button. For example, what we want is : if someone asks us one of those frequently asked questions : the therapist chooses a template, fills in the name of the client and clicks on one button and the prewritten e-mail appears on the e-mail content box where you type the e-mail (the name which was typed in beforehand also appears on the e-mail along with the prewritten text) so it looks personal. We work with therapists across different countries. ( Belgium, Netherlands, soon Germany and US) When the administrator logs in the system, he must be able see each country separately so things don’t get mixed up. If the administrator clicks on Belgium he only sees therapists from Belgium etc.. We will need to create different templates (language) for different countries.
