Build a Automated AP Web Repository & Electronic Invoice Presentment & Payment Applications

Morrison AP, Whayne/Walker AP, Vermeer SW AP, Blanchard machinery I have implementing a comprehensive Accounts Payable automation solution is to provide a suite of services ranging from electronic document delivery, workflow, web repository and electronic archival as it relates to Accounts Payable. Project Synopsis :  Provide ability to manage all user setups and passwords internally by administrators.  Provide one step ability to print (bulk or individual document), e-mail (single or multiple PDF) and save documents directly from website to either work station or in-house server.  Electronic check linked backed to vendor invoice with coding and approver information in single application.  Daily production report includes information pertaining to all invoices received, scanned and posted.  Provide ability for administrators to edit and delete records directly from website without vendor assistance.  Addons will be sent with cover sheet indicating invoice number to add to the existing document in web repository.  Private Vendor or Invoice option available for Super Admin on the site.  Users can data enter account coding or leave blank for approver to complete.  Invoices status change after input document has been completed (invoice is moved from the to be approved cabinet to the approved cabinet).  Provide suggested account coding based on vendor number rules supplied by client. Approval Process :  Invoices routes to approver (via email notification that there are invoices waiting on the site for their approver) based information selected in drop down by administrator or in suggested list provided by vendor number. • When approver logs onto site they will see the invoice they need to approve • Approver allowable amounts provided by Client with rules • Approver can send invoice back to AP Administrator if they are not the correct approver • Approver can change invoice amount but they must add note if amount is changed  Reminders for unapproved invoices will be sent out to approver based on the days defined by client.  Secondary approval can be added to an invoice by AP Admin.  Once an invoice is approved we will provide an output file for either the Machine System (CODA) or the Rental system (Rental Man). The invoice division is what will determine the output file format.  Invoices will have approved status in the repository.  Ability to block paid invoices from being deleted/removed from site. Provide access to electronic check with linking back to vendor invoice image.
